ClearShiftWellbeing is a digital wellbeing platform that allows employees to complete short wellbeing check-ins, and allows organisations to view anonymous or otherwise wellbeing trends across their workforce.
For most deployments:

The employing organisation is the Data Controller.

ClearShiftWellbeing Ltd acts as the Data Processor.
2. What Data Do ClearShiftWellbeing Collect:
ClearShiftWellbeing is designed so that personal data is controlled and stored by the employing organisation, not by ClearshiftWellbeing LTD.
ClearShiftWellbeing does not collect, store or retain personal user data on its own serve.
The Platform only processes information:
Temporarily, on behalf of the organisation and for the purpose of displaying wellbeing insight. All workforce data remains the property and responsibility of the organisation.
3. Who Has Access to Data
In most cases:

The organisation has access to workforce wellbeing data

ClearShiftWellbeing does NOT keep or control the organisation’s HR records

Once implemented, the organisation manages staff data through its own systems
Where hosting or technical services are used, development is supported by Metatative.
4. Requests for Personal Data
If a user leaves an organisation, any request for their personal data must be made to their employer, not ClearShiftWellbeing, as the organisation holds and controls the workforce records.

These are provided for guidance only.
ClearShiftWellbeing does not provide clinical, safeguarding or emergency services and accepts no responsibility for outcomes related to their use.
Any support requests must be handled by the employing organisation using their own safeguarding procedures.
6. Data Security
ClearShiftWellbeing does not store, process or control organisational data.
All personal and organisational data is protected and managed by the employing organisation within their own secure systems, policies and IT infrastructure.
ClearShiftWellbeing is not responsible for any data breach.
ClearShiftWellbeing’s role is limited to providing the digital platform only.
Where technical services are provided by ClearShiftWellbeing or its development partner (Metatative), these are protected through:
• Secure server infrastructure
• Encrypted system connections
• Controlled platform access
• Ongoing technical monitoring
However, the employing organisation remains solely responsible for data storage, data protection, access control, and compliance with UK GDPR and internal safeguarding procedures.
No system is completely risk-free, but ClearShiftWellbeing ensures reasonable technical safeguards for the platform itself, while all organisational data security remains the responsibility of the employing organisation.

The platform provides wellbeing insights only and does not replace management, safeguarding or supervision responsibilities.
